5. Legal Bases for Processing

Under the General Data Protection Regulation (GDPR), we need a legal basis for processing personal data.

Depending on the circumstances, we may rely on:

Contract
Where processing is necessary to provide a service you have requested or to perform our agreement with you.

Consent
Where you have given us permission, for example for certain marketing communications or non-essential cookies.

Legitimate interests
Where processing is reasonably necessary to operate, develop, secure or promote Reward Wallet and those interests are not overridden by your privacy rights.

Legal obligation
Where we are required to process or retain information by law.

6. Marketing Communications

Where legally permitted, we may send you information about Reward Wallet, educational content, product updates, offers and other relevant communications. If you request a demo or interact with one of our assessments or forms, we may follow up in relation to that request and, where permitted, provide relevant information about Reward Wallet. You can unsubscribe from marketing emails at any time by using the unsubscribe link in our emails or by contacting [email protected]. Unsubscribing from marketing does not prevent us from sending necessary service-related communications if you are a customer.

7. Cookies and Similar Technologies

Our websites may use cookies and similar technologies to operate correctly, remember preferences, understand website usage and, where enabled, support marketing and advertising. Necessary cookies may be used without consent where permitted by law. Non-essential analytics or advertising technologies will only be used in accordance with applicable consent requirements. We may use services such as Google Analytics or Meta Pixel if and when these technologies are enabled on our websites. You can manage available cookie preferences through the cookie settings on our website.

8. Sharing Personal Data

We do not sell your personal data. We may share personal data with trusted service providers where reasonably necessary to operate our business and provide our services. These providers may include companies that provide:

website and hosting infrastructure;

CRM and marketing automation;

email and communications;

payment processing;

booking functionality;

artificial intelligence technology;

analytics;

security and technical support.

We may also disclose information where required by law, to protect our legal rights or in connection with professional advice. Where service providers process personal data on our behalf, we take appropriate steps to ensure that the processing is subject to suitable data protection arrangements.

9. Personal Data Processed for Reward Wallet Customers

Reward Wallet is a technology platform used by businesses to manage parts of their own client journey, engagement and retention activities.

When a business uses Reward Wallet to process personal data relating to its own clients, that business generally determines why and how the personal data is used and therefore acts as the data controller. Reward Wallet may process that personal data on behalf of the business as a data processor. The business using Reward Wallet is responsible for informing its clients about its processing of their personal data and for ensuring that it has an appropriate legal basis for that processing. Our processing on behalf of business customers is governed by our Data Processing Addendum (DPA), which forms part of our Terms & Conditions. If you are a client of a business using Reward Wallet and have questions or wish to exercise your privacy rights regarding information that business processes about you, you should normally contact that business directly.

10. International Data Transfers

Some of the service providers we use may process personal data outside the European Economic Area (EEA). Where required by applicable law, we use or require appropriate safeguards for such transfers, such as an adequacy decision, European Commission Standard Contractual Clauses or another legally recognised transfer mechanism.

11. How Long We Keep Personal Data

We retain personal data only for as long as reasonably necessary for the purpose for which it was collected, including providing our services, maintaining our customer relationship, meeting legal and accounting obligations, resolving disputes and protecting our legal interests. Retention periods may therefore differ depending on the type of information and why we process it. When personal data is no longer required, it will be deleted or anonymised where appropriate, subject to applicable legal and technical retention requirements.

12. Security

We take appropriate technical and organisational measures designed to protect personal data against accidental or unlawful loss, misuse, alteration, disclosure or unauthorised access. These measures may include access controls, authentication, encryption, secure infrastructure and restricted access where appropriate. No method of electronic storage or transmission can guarantee absolute security.

13. Your Privacy Rights

Depending on the circumstances and applicable law, you may have the right to:

access your personal data;

correct inaccurate or incomplete personal data;

request deletion of your personal data;

request restriction of processing;

object to certain processing;

receive certain personal data in a portable format;

withdraw consent where processing is based on consent;

object to direct marketing.

Our websites and communications may contain links to third-party websites, platforms or services. Their privacy practices are governed by their own privacy policies. Reward Wallet is not responsible for how independent third parties process personal data.
